Who is responsible

Where an agency or a landlord uses Section 8 Evidence Pack to hold records about their tenants, that client is the controller of those records and we are their processor: we hold and process them only to provide this service, on the client's instructions, and never for our own purposes.
What is held
- Your account: the e-mail address you sign in with, and the name you gave the account.
- Your records: landlords, properties, tenancies, the people living in them, certificates and when they were given to the tenant, the rent ledger, incidents, notices and cases.
- Files you upload as evidence, in a private store reached only through short-lived signed links.
- An audit log of what was done, by id only — it records that a case changed stage, not anybody's name.
- IP addresses are never stored. Where an action has to be counted, only a salted SHA-256 hash of the address is kept.
Incident descriptions can contain special category data — a person's health, or an allegation of an offence. Record only what the case needs.
How long
Your records stay while your account does. Delete the account from Settings and everything, files included, is removed within seven days. Sign-in links live fifteen minutes and work once.
Who else sees it
- Cloudflare, Inc. (USA/EU) — hosting.
- Sendinblue SAS, 9-17 rue Salneuve, 75017 Paris, France (the Brevo service) — sign-in links and reminder digests.
- PostHog (EU cloud, Germany) — anonymous usage statistics. No cookies, no profile, and event properties never carry personal data.
- Supabase (EU) — the database and the private file store.
Where data is transferred outside the UK and the EEA, it is done on Standard Contractual Clauses.
Your rights
You can export everything from Settings at any time, ask for corrections, or delete the account. Write to privacy@vitersoft.com. You may complain to the Information Commissioner's Office (ico.org.uk).
